2. Information we process
| Information | Website use |
|---|---|
| Contact details and enquiries | Name, email address, subject, message and any telephone number supplied through a contact form. Enquiries are stored in the website’s administrative inbox. |
| Team profiles | Professional names, roles, biographies, portraits and LinkedIn links provided for publication. |
| Administrative records | Authorised administrator identity and records of content changes, backups and restores. |
| Technical information | Hosting and embedded services may process connection details, including IP addresses and browser information. Provider-specific details remain to be confirmed. |
3. How we use information
We use enquiry information to review and respond to requests, discuss potential projects and manage related correspondence. Professional profile information is used to present the team. Administrative records and backups support website operation and recovery.
To confirm: the legal basis for each activity, including steps requested before a contract, legitimate interests where applicable, and any consent required for optional technologies. Submitting an enquiry does not itself constitute agreement to receive marketing.
4. Service providers and external content
The website is built with ChatGPT Sites and uses Cloudflare hosting, D1 database and R2 file storage. The contact-form code also supports email delivery through Resend when configured; its production activation and contractual arrangements still require confirmation. Within yellowgroove, access to enquiries is limited to authorised members of the internal team. External collaborators are not given access to handle enquiries. Technical infrastructure providers process information as necessary to operate their services.
The website integrates Google Maps, YouTube and Vimeo for maps and portfolio videos, and supports Spotify and SoundCloud for creator playlists. These optional integrations are subject to the controls in section 7. These providers may receive technical information when their content loads. Social media links and the Music Library lead to separate services with their own privacy notices.
To confirm: the contracted providers, processing locations, any international-transfer safeguards, provider-specific retention and the production email-delivery configuration.
5. Retention and backups
We retain enquiries and related email correspondence for as long as needed to assess and respond to the request and handle any resulting project or ongoing correspondence. Irrelevant or unsolicited messages may be deleted when reviewed. We do not apply a single fixed retention period to all correspondence.
The following automatic retention settings apply to records in the website’s administrative inbox and backups. They do not automatically delete separate copies held in email accounts.
Archived enquiries are deleted 12 months after archiving. Active enquiries remain available while being handled. Database backups are retained for 90 days from creation. Cleanup is performed when the relevant administrative pages are opened and before administrative changes or exports; it is not an independently scheduled daily job.
Deleted contact records are excluded from subsequent restores on this site. Contact records in imported backups older than 90 days are not restored. Downloaded backup files must also be removed from independently managed storage within 90 days.
To confirm: retention of administrative logs and any separate contractual or legally required records, together with responsibility for downloaded copies.
6. Your rights
Depending on the circumstances and applicable law, you may request access, correction, erasure, restriction or portability of your personal information, and object to certain processing. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing.
Send requests to info@yellowgroove.gr. You may also raise a complaint with the Hellenic Data Protection Authority or another competent supervisory authority.
Further information: European Commission: information for individuals.
7. Cookies and embedded content
Technical information updated 4 October 2026. Optional external content is blocked until you choose to allow its category. Scrolling, browsing or closing settings does not give consent. Accept and reject are available on the first banner. You can change your choice or withdraw consent here or through Cookie settings in the footer.
| Technology / provider | Purpose and control | Duration |
|---|---|---|
| yellowgroove-consent (local storage) | Remembers your choices, notice version and expiry on this browser. It is stored only when you save, accept or reject; it contains no visitor identifier. Essential preference storage. | 180 days, then the site asks again. Clearing browser storage removes the preference. This is our chosen technical setting, not a statutory period. |
| Cloudflare __cf_bm cookie | Bot protection, observed in the website response. Security technology is not disabled by optional-content settings. | 30 minutes of inactivity, according to Cloudflare. |
| Google Maps | Optional Maps category. No map iframe loads until allowed. | Provider-controlled cookies and storage, if used. See the linked provider policy. |
| YouTube and Vimeo | Optional Portfolio videos category. Players load only when a project is opened and the category is allowed. YouTube uses its privacy-enhanced embed domain; Vimeo uses its do-not-track setting. These settings do not replace consent. | Provider-controlled; varies with player behaviour, account state and browser settings. |
| SoundCloud and Spotify | Optional Music players category. Only the provider attached to a creator’s selected works loads. SoundCloud’s player, supporting script and metadata requests are blocked together until allowed. | Provider-controlled; see the respective policy. |
No Google Analytics, Google Tag Manager or advertising pixel is installed in the website application code. Optional providers may receive your IP address, browser information and playback activity when enabled. They may use cookies or similar storage under their own policies. Exact third-party cookie names and lifetimes have not been verified across browsers and signed-in states; we do not claim this table is an exhaustive inventory of their storage.
Withdrawing a category removes its active embeds from the page and prevents new loads. It cannot undo information already transmitted or delete cookies belonging to another domain. You can remove those through your browser’s site-data controls. External links open the provider’s own website, outside these controls. If local storage is unavailable, your choice applies only to the current page session. Without JavaScript, optional embeds remain blocked.
Provider information: Google / YouTube privacy, Google cookies, Vimeo, SoundCloud, Spotify cookies, Cloudflare cookies.
8. Marketing communications
The website contact form is for enquiries and does not include a newsletter subscription or an automatic marketing sign-up. No newsletter platform is currently connected to this website.
If we introduce a newsletter or another marketing use of contact information, we will provide the relevant information and any required choice before that use begins. Sending an enquiry does not itself give consent to marketing emails.
